Registration, Bib Collection, Gear & Health Check
On station at 7:30am
Registration at Alpine Lodge opens 7-45am to 8-45am
There will be three registration positions / lines - Half, 13km & 8km. A Name Checker and a Bib Finder will be stationed at each position, with front row of tables and rear row for the bib numbers. There will be separate tables for "Medicals", "Changes" & "Gear Checks".
Greeter - Fiona/Katrina/Carol:
-Direct competitors to their check-in point (Half or 13km or 8km)
-Answer questions re where to go for category changes, toilets, parking, start line
-Manage the queue. If necessary move HALF competitors to the front.
-Point out the location of the MAP board.
Name Checkers - Pam, Tracy, Ruth:
-An alphabetical by surname list of participants for each distance (HALF or 13km or 8km) is taped on the relevant table with accompanying "Bingo Sheet" on a clipboard.
-Confirm with the person in checking in that they are at the correct position (e.g.: “And you are doing the Half?”
-Take the participant's name, find their bib number, rule through their name with a xxx highlighter.
-Call race bib number to the Bib Finders - Katrina, Carol, Amanda.
-Ask the participant if they have any medical conditions (“Do you have any medical issues that we need to know about to assist with your safety on the course?”)
-If the answer is No, leave a blank in the Medical column. They collect their bib & bag and move to the Gear Check line.
-If the answer is Yes, put a tick/cross the Medical column, give them their bib & bag and send them on to the Medicals table (Tania).
Category Changes:
-If a participant asks to change their distance category process as above, but DO NOT rule through their name with highlighter. Instead write the new distance (13k / 8k) on their line in the appropriate column on the right. Highlight only the new distance. Send the participant with their original bib to the Changes Table (Ian/Pauline - who will edit the distance on the system, will take the old bib and give them a new bib to match their new distance.)
Transfer check-ins to "Bingo sheet":
-When registration is quiet, highlight checked-in racers on the relevant "Bingo Sheet" using the green/turquoise highlighter.
-When Check-In closes, give Participant Lists & Bingo Sheets to the Finish area co-ordinator (Pauline).
Number Finders - Carol, Katrina, Amanda:
-Retrieve appropriate bib when called by Name Checker. Hand it to the participant with a bag (& pins if needed). Keep bib numbers in correct numerical order.
-When Check-In closes, clip leftover bibs together in number order and give them to the Finish area co-ordinator.
Medicals - Tania:
-Collect relevant info from those with health issues to report and fill in the Medicals Form (note: if competitor is changing category, they need to see Ian first to get a new number)
-Write details on back of Bib Number (need a sharpie for this)
-Direct competitors onto gear check
-When Check-In closes, give the sheets to the Finish area co-ordinator.
Gear Check - Richard, Pete, Greg?:
-Richard to direct 8km participants straight through (no gear check needed) and manage queue for HALF & 13km competitors that need gear checks.
-Gear Checkers need to see compulsory gear of windproof top, thermal, hat, gloves, blanket & whistle. At this point we do not have spare gear. Liaise with Event Director Dan if there are issues.
-Highlight or cross-off relevant number on "Bingo sheet" after each successful gear check.
